Your company account supports adding employees, contractors, and drivers so you can manage their credentials, track compliance, and run background checks from one place.
Before You Begin
Have the following ready for each person you are adding:
- Full legal name (exactly as it appears on their government-issued ID)
- Email address
- Phone number
- Role or staff type (employee, contractor, or driver)
- For drivers: license number and issuing state
⚠️ Use the person's legal name. If a background check is required, mismatched names will delay results.
Adding a Staff Member
- Log in to your account at pruuvn.app
- Select Hiring Tools on the sidebar menu
- Select the Add Staff button and choose the staff type: Employee, Contractor, or Driver
- Enter their information in the required fields. Driver entries include license and DOT-related fields
- Assign any requirements this person needs, such as a background check, drug screening, or license verification
- Submit the entry. The staff member receives an email to complete their portion of the process
Once added, the person appears in your Applicants screen under Hiring Tools with a pending status until all assigned requirements are complete.
If a Background Check Is Required
If you assigned a background check as a requirement, the staff member is routed through the background check process automatically. They will receive a secure link to provide consent and confirm their identifying information before the check can run.
See Running Background Checks on Your Staff for the full process, including consent, timing, statuses, and reviewing results.
FAQ
Can one person hold more than one staff type?
Yes. A contractor who also drives for you can carry both designations, and their requirements combine.
What if the invitation email doesn't arrive?
Have them check their spam folder, then resend the invitation from their entry in the Applicants screen.
Can I remove a staff member later?
Yes. Deactivating a staff member removes their access but preserves their compliance history for your records.
